What to Expect on Your First LandFlight Private Transfer

First time booking a LandFlight transfer? Here's your complete guide to the experience — from online booking through to arrival — so you know exactly what awaits and can travel with complete confidence.

What to Expect on Your First LandFlight Private Transfer

Booking your first private transfer in a new country involves a certain amount of trust. You're committing to a service you haven't experienced, in a destination you may not know, for a journey that might be the first leg of a complex itinerary. The questions are natural: Will the driver actually be there? Will the vehicle be comfortable? Do I tip? What if my flight is delayed? Can I ask for stops?

At LandFlight, we answer these questions before they become concerns. This guide walks through every stage of a LandFlight experience — from your first visit to our website through to arrival at your destination — so that first-time guests arrive with complete confidence and zero anxiety.

Booking: Straightforward, Transparent, Confirmed

How to Book

Visit landflight.co.nz and use the route selector on the homepage. Choose your departure location and destination from the dropdown menus — we cover all major cities, airports, and luxury lodges across both islands. Select your number of passengers and travel date.

Pricing displays immediately for routes with established pricing. For custom routes — remote lodge connections, off-the-beaten-track destinations, multi-stop itineraries — a quote is generated within 1 hour during business hours.

What Information You'll Need

  • Pickup location: Your hotel name and address, lodge name, or airport terminal
  • Dropoff location: Exact address or lodge name
  • Date and time: Including your preferred pickup time, or flight arrival time for airport collections
  • Passenger count: Determines vehicle sizing and per-person pricing
  • Contact details: Name, email, and phone number (for driver communication)
  • Flight number: If you're being collected from an airport — we track arrivals in real time

Payment and Confirmation

Payment is collected at booking via secure online payment. Once your booking is confirmed, you receive a detailed email confirmation containing:

  • Your booking reference number
  • Driver name and phone number
  • Vehicle details (make, model, registration where available)
  • Pickup instructions specific to your location
  • Emergency contact for LandFlight operations team

This isn't a generic booking reference. It's actual information about your actual driver and vehicle. Print it or save it — you'll have everything you need.

Before Your Transfer: What Happens Behind the Scenes

In the 24 hours before your transfer, LandFlight's operations team prepares your booking:

Flight monitoring (for airport collections): We connect your booking to live flight tracking. If your flight is delayed, we know before you do. Your driver adjusts pickup timing automatically. You don't need to call.

Driver briefing: Your driver reviews your booking details — your name, pickup location protocols, any specific notes you've added (wheelchair accessibility requirements, child seat requests, large luggage volumes), and your destination.

Vehicle preparation: Your vehicle is cleaned, fuelled, and stocked with complimentary refreshments for longer transfers. Climate control is pre-set. Wi-Fi is active.

Route review: For longer transfers or routes with current weather or traffic considerations, our drivers check conditions and confirm the optimal route.

The Pickup: Your First Contact

Hotel and Lodge Pickups

For hotel pickups, your driver arrives in the lobby 5 minutes before the scheduled time. You don't need to be watching the car park — they'll find you. If you're not immediately visible, they'll introduce themselves to front desk.

Bring your luggage to the lobby at the scheduled time and your driver will handle it from there — to the boot, organised appropriately, with heavy items protected and anything fragile noted.

Airport Collections

Arriving from a flight, your driver waits in the arrivals hall with a sign displaying your name (or LandFlight branding, as you prefer). They have monitored your flight and know your status.

If you need to collect checked baggage, your driver waits. If customs takes longer than expected, your driver waits. If something unexpected happens, their number is in your confirmation — a single text message resolves any communication.

What to Do If You Can't Find Your Driver

It's rare, but if you cannot immediately locate your driver, call the number in your confirmation. Response is immediate — typically within two rings. Our drivers are always in the vicinity of the pickup point at the scheduled time.

During the Journey: What's Available

The Vehicle

You're travelling in an executive-class vehicle — Mercedes, BMW, or premium SUV depending on passenger count and route. Expect:

  • Genuine rear-seat legroom: Not compromised or folded-forward seating
  • Climate control: Set to your preference from the moment you enter
  • Cleanliness: Freshly prepared interior for every transfer
  • Charging: USB-A and USB-C ports in rear passenger positions
  • Wi-Fi: Complimentary, password displayed on a card in the vehicle
  • Audio: Quiet cabin as standard; music available at your request

Refreshments

For transfers over 2 hours, complimentary still water and a selection of snacks are provided. For particularly long transfers — Christchurch to Queenstown, Auckland to Northland — a wider refreshment selection is standard.

If you have dietary preferences or specific requests, note them at booking and we accommodate where possible.

Stops

Private means private: you set the itinerary. Want to stop for coffee at the halfway point? Tell your driver. Want to pull over at a viewpoint for photographs? Absolutely — our drivers know the best spots and often suggest them before you ask.

Need a comfort break? Just ask. There is no rigid schedule that cannot accommodate a 10-minute stop on a long transfer.

Communication During the Journey

Your driver engages at the level you prefer. Some guests want narrated journeys with full regional commentary — our drivers genuinely enjoy sharing their knowledge of the landscapes and communities they work in. Others prefer quiet, solitude, or to make phone calls.

Both are completely fine. A simple 'We'll probably just sit quietly, thanks — it's been a long journey' is received without offence and respected throughout. Your comfort defines the experience.

The Most Common First-Time Questions

Do I tip? Tipping is not expected in New Zealand's service culture, but it is genuinely appreciated for exceptional service. If your driver has gone above and beyond — arranged an unexpected stop, shared particularly helpful local knowledge, managed a complicated luggage situation gracefully — a tip is warmly received but never expected.

What if I need to change my booking time? Contact LandFlight directly by phone or email. Changes made more than 24 hours ahead are accommodated without charge in most cases. Last-minute changes are handled with as much flexibility as our scheduling allows.

Can I bring a pet? With advance notice, yes — subject to vehicle availability and appropriate containment. Please note this at booking.

What about child seats? Child seats are available on request at booking. Please specify the age and weight of children so we can provide the correct seat type.

Is luggage stored safely? All luggage is in the sealed boot throughout the journey. For particularly valuable items (camera equipment, wine purchases, laptops), keep these in the cabin with you as with any transport.

Arrival: The Perfect Ending

Approaching your destination, your driver contacts the property (for lodge arrivals) to advise of your ETA. This allows lodge teams to prepare your welcome and have staff ready at the entrance.

At arrival, luggage is unloaded and carried to reception or the designated point. Your driver will provide any relevant local information before departing — nearest services, tomorrow's weather, anything that helps you settle in.

Then they leave cleanly and professionally, without lingering. The transfer is complete.

After Your Transfer: We're Still Here

LandFlight's relationship with guests doesn't end at the destination. If you need additional transfers during your visit — a day trip, a winery visit, an unexpected schedule change — contact us directly. Guests with existing bookings receive priority scheduling.

For multi-leg itineraries, our operations team tracks your programme and ensures each subsequent transfer is briefed and prepared in advance.

Your first LandFlight experience is the beginning of a travel standard, not a one-off encounter. We look forward to welcoming you aboard.
